Terms And Conditions

Hire-A-Pod | AJB Events & Entertainment – Terms & Conditions

1. Booking & Agreement
By placing a booking with Hire-A-Pod | AJB Events & Entertainment (“we”, “us”, “our”), you agree to these Terms & Conditions.
A booking is considered confirmed once:
-
A booking form or agreement has been completed, and
-
Payment (full or retainer) has been received
These terms apply to all services provided.
2. Payments
-
A non-refundable retainer (typically £75) is required to secure your event date
-
The remaining balance is due 14 days prior to the event
-
Bookings made within 14 days of the event must be paid in full at the time of booking
Failure to make payments on time may result in:
-
Late fees
-
Cancellation of your booking
-
Loss of any payments already made
3. Cancellation Policy
All cancellations must be made in writing.
Cancellation Terms:
-
180+ days before event:
Retainer is non-refundable. Any additional payments (excluding fees) will be refunded. -
179–60 days before event:
Up to 50% of the total booking fee is retained.
Any amount paid above 50% will be refunded.
If less than 50% has been paid, the remaining balance up to 50% is still due. -
59 days or less before event:
No refund is available and the full balance remains payable.
Exceptions:
-
In the case of death or military deployment, a refund may be issued (excluding retainer and fees) with valid documentation.

If an event cannot legally take place due to government restrictions:
-
Payments (excluding retainer) will be refunded
-
Retainer will be held as credit for up to 12 months

4. Rescheduling
-
We will do our best to accommodate date changes
-
All payments will transfer to the new date
-
If we are unavailable for the new date, the retainer is retained
-
Price adjustments may apply for future dates
-
A rescheduling fee may apply
5. Service Period & Setup
-
Setup time: 60–90 minutes before start time
-
Pack-down time: 30–60 minutes after service
-
Service runs strictly within the agreed booking times
If your event starts late:
-
Your booking time will not be extended unless agreed and paid for
6. Venue & Access Requirements
The client is responsible for ensuring:
-
Suitable space for setup
-
Access to power within 2 metres
-
Adequate access for loading/unloading
-
Venue permission for our services
Failure to meet these requirements:
-
May result in inability to provide services
-
Full charges will still apply
7. Additional Time
Additional hours may be available subject to:
-
Availability
-
Venue approval
Charged at:
-
£75 per hour, payable immediately
8. Equipment & Conduct
We reserve the right to:
-
Refuse service to guests who are abusive or unsafe
-
End the service early if equipment or staff are at risk
The client is responsible for:
-
Any damage caused by guests
-
Full replacement or repair costs
9. Downtime
We aim for full operational service but:
-
Guarantee at least 80% uptime
-
Any downtime due to equipment failure will be partially refunded proportionally
10. Liability
Our liability is limited to:
-
The total amount paid for the service
We are not liable for:
-
Loss or damage to personal property
-
Injury unless caused by proven negligence
-
Indirect or consequential losses
11. Force Majeure
We are not liable for failure to perform due to:
-
Events outside our control (e.g. illness, extreme weather, government restrictions)
In such cases:
-
We will attempt to reschedule
-
Refunds may be issued at our discretion (minus costs incurred)
12. Staff Safety
If our staff feel unsafe due to:
-
Harassment
-
Abuse
-
Unsafe conditions
We reserve the right to:
-
Terminate services immediately without refund
13. Intellectual Property
-
All images and content remain our property
-
Clients may use images for personal use only
-
We reserve the right to use images for marketing
14. Data & Delivery
-
Digital content is typically delivered within 2–4 weeks
-
Files are stored for 12 months
-
Retrieval after this period may incur a fee
15. Insurance
We hold public liability insurance.
Additional venue-specific requirements are the client’s responsibility.
16. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
17. General

These Terms form the entire agreement between both parties
-
If any part is unenforceable, the rest remains valid
-
Failure to enforce any term does not waive our rights
